AiEngineer.in is an AI consulting and development firm working with property management companies and realtors. This policy explains what personal information this website collects, why we collect it, how long we keep it, and the choices available to you. It covers visitors to this website and people who contact us about an engagement; information belonging to a client's tenants, owners, or leads is handled separately under the engagement agreement described below.

Information we collect

We collect very little, and almost all of it is information you choose to give us. The contact form asks for your name, email address, an optional company name, and the message you write. Anything you include in that message is stored with it, so please do not send confidential documents or sensitive personal information through the form.

The remainder is collected automatically when any web server receives a request. This technical data is used to keep the site available and secure, not to build a profile of you.

  • Contact form submissions: name, email address, company (optional), and message content.
  • Email correspondence you send us, including any attachments and signature details.
  • Server logs: IP address, browser and device type, referring page, requested URL, and timestamp.
  • Analytics data, where analytics is enabled: pages viewed, approximate location derived from IP address, and aggregate usage patterns.

How we use information

Contact details are used to reply to your enquiry, arrange and run an introductory audit call, and send the proposal or scoping documents that follow from it. If we begin an engagement, the same details are used to administer the project — scheduling, status updates, invoicing, and support.

Technical and analytics data is used in aggregate to understand which pages are useful, to diagnose errors, and to protect the site against abuse. We do not sell personal information, and we do not share it with third parties for their own marketing.

Cookies and analytics

This site is built to work without advertising cookies and without cross-site tracking. Cookies or similar storage may be used for essential functions such as remembering a preference or protecting a form against automated abuse.

A privacy-conscious analytics tool may be enabled to count page views and referrers. You can prevent analytics from running by using your browser's tracking protection or a content blocker, or by enabling a do-not-track setting where the analytics provider honours it. Blocking analytics does not reduce the functionality of the site.

Service providers

We use a small number of third-party services to run the site and the business. We describe them by category rather than by name, because vendors change and a stale vendor list is worse than an accurate description of what each category does. Each provider only receives the data needed for its function and is expected to process it on our instructions under its own contract terms.

  • Hosting and content delivery: serves this website and stores server logs.
  • Email and calendar: delivers and stores our correspondence with you and schedules calls.
  • Website analytics: aggregates page-level usage statistics, where enabled.
  • Customer relationship management and project tooling: records enquiries, proposals, and engagement history.

Client data handled during engagements

During a consulting or development engagement we may be exposed to information belonging to a client's tenants, owners, applicants, or leads. That data is processed only under the engagement agreement and any data processing terms signed with the client, and for no other purpose. This website privacy policy does not govern it.

Wherever it is practical, the systems we build run on the client's own accounts, infrastructure, and vendor contracts, so operational data stays under the client's control. Access for our team is scoped to what a task requires, requested in writing, and removed when the work concludes. Where a client requires deletion or return of data at the end of an engagement, that is handled under the terms of the agreement.

How long we keep information

Enquiries that do not lead to an engagement are kept only as long as they are useful for follow-up, and are deleted on request. Correspondence and records connected to an engagement are kept for the length of the engagement and afterwards for the period needed to meet contractual, accounting, and legal obligations.

Server logs are short-lived and are rotated automatically. Analytics data is retained in aggregate form. Exact retention periods depend on the systems in use and on the record-keeping requirements confirmed by counsel.

Security practices

We describe practices here rather than certifications, because we do not hold a security certification and will not imply one. The site is served over HTTPS. Access to email, project tooling, and any client systems is protected with unique credentials and multi-factor authentication where the provider supports it, and is limited to the people working on the relevant engagement.

Credentials and API keys are stored in a password manager or a secrets store rather than in code or documents, and access granted for a project is revoked when it ends. No system is perfectly secure, and we cannot guarantee that information transmitted over the internet is free from interception. If a breach affecting your information occurred, we would notify affected people and any regulator as required by the applicable law.

International transfers

We work with clients in several countries and our team and service providers may be located outside your country of residence. Personal information may therefore be transferred to and stored in a jurisdiction with different data protection rules from your own.

Where such a transfer requires a safeguard — for example a standard contractual clause or an equivalent mechanism — we rely on the terms offered by the relevant provider. The specific transfer mechanisms that apply must be confirmed by counsel for the jurisdictions concerned.

Your rights and choices

Depending on where you live, you may have rights over the personal information we hold about you. These commonly include the rights listed below, and we will honour a reasonable request regardless of whether a statutory right applies.

To exercise a right, email hello@aiengineer.in describing what you would like us to do. We may ask for information to confirm that the request comes from you, and we will explain our decision if a request cannot be met in full — for example where we must keep a record to meet a legal or contractual obligation. You may also complain to your local data protection authority.

  • Access: ask what personal information we hold about you and receive a copy.
  • Correction: ask us to fix information that is inaccurate or incomplete.
  • Deletion: ask us to delete information we no longer need to keep.
  • Objection and restriction: object to processing based on legitimate interests, or ask us to pause it while a question is resolved.
  • Withdrawal of consent: withdraw consent at any time where consent is the basis for processing.

Children's information

This website and our services are directed at businesses and the people who work in them. The site is not intended for children, we do not knowingly collect personal information from children, and we do not target advertising to them.

If you believe a child has provided us with personal information, contact hello@aiengineer.in and we will delete it.

Changes to this policy

We may update this policy as the site, our tooling, or the applicable law changes. The date at the top of the page shows when the current version was published, and the version on this page is always the one in effect.

Where a change materially affects how we handle information you have already given us, we will take reasonable steps to tell you directly rather than relying on this page alone.

Questions about this document, or a request relating to your information, can be sent to us by email. We aim to acknowledge messages within a few business days and will ask for enough detail to identify the records concerned.
