Frequently asked questions

What we build, who we build it for, how engagements and pricing are structured, which systems we connect to, and how data is handled. If something is missing, ask us directly.

Quick answer

Common questions about AiEngineer.in: what we build, who we serve, how the four-step engagement works, how pricing is structured, which PMS and CRM platforms we integrate with, how tenant and client data is handled, and what ongoing support looks like once an AI system is live.

About the firm

What does AiEngineer.in do?
AiEngineer.in is an AI consulting and development firm focused on real estate. We audit property management and realtor workflows, design an AI adoption roadmap, then build and maintain custom AI agents, chatbots, and automations that connect to the PMS and CRM tools clients already use.
Who is AiEngineer.in for?
We serve two audiences: property management firms (typically 50 to 5,000+ units) that need AI for tenant support, maintenance, rent follow-up, and documents; and realtors or small teams that need faster lead response, follow-up, listing content, and transaction coordination.
How does an engagement with AiEngineer.in work?
Engagements follow four steps: Discover (AI audit of workflows and data), Design (custom roadmap and automation plan), Build (agents, chatbots, and integrations), and Automate (24/7 AI running operations with ongoing monitoring and improvement).
Which systems can AiEngineer.in integrate with?
We integrate with common property management and realtor stacks, including AppFolio, Buildium, Yardi, kvCORE, Follow Up Boss, email, and accounting tools. The goal is to plug into what you already use rather than replace your core systems.
What is included in the free AI Opportunity Audit?
A free 30-minute AI Opportunity Audit maps your current workflows and identifies where AI can reduce hours, speed up response times, or lift conversion. It is a consultative session, not a sales demo of a one-size-fits-all product.

Services and scope

Do I have to buy all four services?
No. Most engagements start with one workflow and one or two service lines. The audit tells you which combination is worth doing first, and later phases are only added when the earlier ones are measurably working.
Do you build custom software or resell a platform?
We build custom systems on top of established AI models and your existing tools. There is no AiEngineer.in platform to licence, and no per-seat fee — you own the configuration, prompts, and integration code we deliver.
How long does a first build usually take?
A single focused workflow — one chatbot with one integration, for example — is typically a matter of weeks rather than months. Multi-system automation takes longer because integration access and testing dominate the timeline, not the AI itself.

Process and delivery

What happens in the Discover step?
A free 30-minute AI Opportunity Audit, followed by a deeper review if you proceed: we walk through how the work happens today, which systems hold the data, where the queue backs up, and what an automated version would need to be allowed to do.
What do I receive from the Design step?
A written roadmap: the workflows in scope, the automation design for each, the integrations required, the human checkpoints, the success metrics with your current baseline, and a phased delivery plan with a fixed quote.
Do you stop after Build?
Only if you want us to. AI systems drift as policies, listings, and staff change, so most clients continue on an AI operations retainer covering monitoring, reporting, and monthly improvements.
How involved does my team need to be?
Expect a few hours a week from one operational owner during Discover and Design, mostly answering how-it-really-works questions and approving scope, then lighter involvement during Build for testing and sign-off.

Engagement models and pricing

Why is there no price list on this page?
Because scope drives cost. Two firms asking for a tenant support agent can differ by an order of magnitude depending on systems, data quality, and integration access. You get a written fixed quote after the audit, before any build work starts.
Is the AI Opportunity Audit really free?
Yes — a 30-minute consultative call at no cost and with no obligation. If we conclude AI is not the right investment for your situation, we will tell you that on the call.
Do you charge per user or per unit?
No. There is no per-seat or per-unit licence, because we are not selling a platform. Build work is quoted by scope, and ongoing AI operations are a monthly retainer sized to what is running.
Who owns what you build?
You do — the configuration, prompts, and integration code delivered under the engagement. Third-party model and platform costs (for example, model API usage) are billed at cost or paid directly by you under your own accounts.
Can we start small?
Starting small is the recommended path: one workflow, one integration, measured against a baseline. Later phases are quoted once the first one is demonstrably working.

Integrations and systems

What if my PMS or CRM has no public API?
We check that during the audit. Where an API exists we use it; where it does not, options include vendor integration partners, scheduled file exchange, or email and webhook based triggers. If no safe path exists, we say so before you spend on a build.
Will an integration create duplicate records?
One system stays the source of truth for each record type, and matching rules are agreed during Design. Sync jobs are idempotent and logged, so re-running them does not create duplicates.
Do you replace our PMS or CRM?
No. Replacing a system of record is a large, risky project with little AI upside. We automate around your current stack so your team keeps working in the tools they already know.

For property management firms

What AI problems does AiEngineer.in solve for property managers?
We automate high-volume operational work: after-hours tenant questions, maintenance ticket triage and vendor routing, rent delinquency follow-up, and document tasks such as lease abstraction — so staff can focus on residents and portfolio growth.
Do AI agents replace property management staff?
No. AiEngineer.in designs AI to handle repetitive, policy-bound tasks. Humans remain responsible for exceptions, relationship work, and decisions that require judgment. Success metrics typically include hours saved and faster response times, not headcount cuts.
Which property management systems do you support?
We connect to widely used PMS platforms such as AppFolio, Buildium, and Yardi, plus email and accounting tools in your stack. Integrations are scoped during the Design phase based on your actual systems and data access.
How do you handle emergency maintenance requests?
Emergencies are treated as an escalation path, not an automation target. The agent classifies urgency from your own definitions, and anything matching an emergency rule is routed immediately to your on-call process with the tenant, unit, and description attached.

For realtors and teams

How does AI help realtors close more deals?
Most lost deals come from slow first response and missed follow-up. AiEngineer.in builds agents that qualify and reply to leads instantly, run follow-up sequences that do not forget, and support listing content and showing coordination so agents spend more time with serious buyers and sellers.
Will AI sound like me when messaging leads?
Agents are configured around your scripts, listings, and CRM data. Tone and escalation rules are set with you during Design and Build so routine replies stay on-brand and complex conversations hand off to a human.
Which realtor CRMs does AiEngineer.in work with?
We commonly integrate with kvCORE, Follow Up Boss, and similar real estate CRMs, plus email and calendar tools. Exact connectors depend on your stack and are confirmed in the audit and Design phase.
Is AI-generated listing content compliant with fair housing rules?
Compliance stays a human responsibility. We constrain generation to verified property facts, block language patterns your brokerage flags, and route every draft to an agent for review before publication.

Getting started

What happens after I submit the form?
We reply by email to arrange the free 30-minute AI Opportunity Audit, usually within one business day, and send a short list of questions in advance so the call can focus on your workflows rather than on discovery basics.
What should I prepare for the audit call?
A rough sense of volumes — tickets, leads, or messages per month — which systems hold your data, and the one workflow that frustrates your team most. Nothing needs to be documented in advance.
Do you sign NDAs?
Yes. We can work under your NDA before the audit call if you prefer to discuss specifics, and confidentiality terms are part of every engagement agreement.

Most questions are specific: a system we have not listed, a workflow that looks unusual, or whether automation is worth it at your volume. Send it over and you will get a straight answer, including when the answer is no.
